This page is a practical public draft for the HelloTradie website and Website Lead Assistant V1. It should be reviewed by a qualified lawyer before scaling paid operations, finalising customer terms, or relying on controller, processor, retention, deletion, SMS, or vendor-DPA wording.

Who we are

HelloTradie is operated by Intelligram Pty Ltd. This policy explains how we handle information submitted through HelloTradie's own website, fit-check forms, AI report download forms, sales and support conversations, and Website Lead Assistant where it is installed for a plumbing business. The initial Website Lead Assistant V1 launch and compliance scope is US only.

Information we collect

We collect information that people choose to provide through the HelloTradie website, plus limited technical information needed to operate, secure, troubleshoot, and improve the website and service.

  • HelloTradie website submissions, including fit-check, AI report, and contact form details such as contact name, business name, email, phone number where requested, website URL, business type, website platform, readiness answers, and report-download details.
  • Business contact details provided during sales, onboarding, support, billing support, or technical support conversations.
  • Website Lead Assistant V1 enquiry details submitted on a plumbing business website, such as name, phone, optional email, service location, job type, urgency, job description, submitted timestamps, customer or site context, and other details the visitor chooses to provide.
  • Website Lead Assistant operational records, including AI summaries and classifications created after submission, notification logs, provider status records, routing status, support notes, audit timestamps, and troubleshooting records.
  • Basic technical information such as browser, device, pages visited, referral source, event timing, and spam-prevention signals. Website Lead Assistant operational logs may also include request metadata and failure context needed to operate the service.

Website Lead Assistant V1

Website Lead Assistant V1 is planned as a structured, Typebot-style intake for plumbing website enquiries. It is not a live AI-led visitor conversation. Enquiries are submitted first, stored durably, and then may be summarised or classified after submission to help the plumbing business review and respond.

Supabase is the planned durable system of record for submitted enquiries and operational records. OpenAI API may be used for post-submit summarisation and classification only. Resend may send owner/operator email notifications, and Twilio may send owner/operator SMS alerts. Website Lead Assistant V1 does not send SMS to end customers.

Analytics and tracking

The HelloTradie marketing website may use analytics or session analytics tools where they are enabled, including Google Analytics and Microsoft Clarity. These tools help us understand page usage, form performance, browser behaviour, and product issues. We do not intentionally send personal form fields such as names, phone numbers, email addresses, business names, website URLs, addresses, or free-text enquiry details as analytics event parameters.

Website Lead Assistant V1 production lead flows are not planned to use session replay, and homeowner enquiry contents should not be sent to marketing-site analytics or session replay tools.

How we use information

  • Assess whether a business is a fit for HelloTradie.
  • Provide requested reports and related website resources.
  • Follow up on sales enquiries and Foundation cohort interest.
  • Deliver, operate, maintain, and support the service.
  • Store submitted Website Lead Assistant enquiries and related operational records.
  • Create post-submit AI summaries and classifications to help the plumbing business review enquiries.
  • Route owner/operator notifications by email or SMS where configured.
  • Provide customer support, billing support, and technical support.
  • Monitor analytics, operational logs, provider status, and failures, and troubleshoot issues.
  • Detect, reduce, and investigate fraud, spam, misuse, or security issues.
  • Keep practical business, tax, support, and operational records.

Third-party services

We use third-party services to run the website and business. These providers process information for us only where needed for the relevant service.

  • Google Workspace for email, files, and business operations.
  • Google Sheets and Google Apps Script for website fit-check submissions, AI report leads, and internal fit-check notifications.
  • Google Calendar for booking calls where a calendar link is used.
  • Cloudflare where used for DNS, hosting, caching, security, or traffic routing for the public marketing website. This is separate from Website Lead Assistant V1 product/API hosting.
  • Google Analytics where production analytics are enabled.
  • Microsoft Clarity where marketing-site session analytics are enabled.
  • Vercel Pro for Website Lead Assistant V1 production app/API hosting where the product is deployed.
  • Supabase for Website Lead Assistant submitted enquiries, customer or site configuration, AI outputs, notification jobs, provider callbacks, audit state, and reconciliation records.
  • A Typebot-style structured intake layer for Website Lead Assistant enquiry collection.
  • OpenAI API for post-submit Website Lead Assistant summaries and classifications.
  • Resend for Website Lead Assistant owner/operator transactional email notifications.
  • Twilio for Website Lead Assistant owner/operator SMS alerts only, not end-customer SMS in V1.
  • Sentry for operational monitoring, alerting, and error logging, with raw enquiry content avoided where practical.

Legal roles and customer websites

HelloTradie's own website, sales, report, support, and operational data is handled for HelloTradie's business purposes. For Website Lead Assistant customer deployments, the final controller, processor, business, and service-provider roles are pending legal review. The plumbing business may be responsible for its own website visitors and notices, while HelloTradie may process submitted enquiries to provide the service.

Data retention

Our retention and deletion posture for Website Lead Assistant V1 is a launch draft pending legal review. We keep information for as long as it is practically needed to assess fit, follow up with prospects, provide the service, support customers, reconcile notifications, troubleshoot issues, prevent misuse, and keep ordinary business, tax, security, dispute, or legal records.

Website Lead Assistant submitted enquiries, AI summaries and classifications, notification logs, webhook or provider status records, customer configuration, and backups should be kept no longer than needed for the approved customer process. Exact periods, deletion/export handling, backups, and vendor-side retention still need legal and vendor review before first customer launch.

Access, correction, and deletion requests

You can ask us to access, correct, or delete personal information we hold about you. We may need to keep limited records where required for billing, dispute handling, security, legal, or operational reasons.

If a Website Lead Assistant enquiry was submitted through a plumbing business website, we may need to coordinate with that plumbing business before acting on the request. The exact request workflow is pending legal review and customer terms.
